Can a free order-management program really be free?

License, per-device fees, locked modules… We examined the market's "free" claims item by item and drew up the 6 questions to ask.

Summary
If the limits of "free" are not in writing, it is not free: which module, how many devices, how many users? The most common hidden items: per-device fees, a locked core module, setup-and-training charges, data export. The condition for a sustainable free model is that revenue comes from another, transparent line.

Why is there so much "free"?

The free claim has become widespread in the restaurant software market. There is a simple reason: the software itself is no longer a differentiator. Taking an order, opening a table, printing a receipt are standard. Competition is built on price, and "free" is the strongest message.

But what the free thing actually is often stays undefined. A program can be free but on a single device; or on all devices but with a single user; or everything open, yet reporting only in a paid package.

Six questions to ask

When evaluating an offer, asking these six questions in writing ends most surprises up front.

Free on how many devices? Are tablet, terminal and kiosk each priced separately? How many users can I define? Does a fee appear as the number of waiters grows?Which modules are in the free package? Are the kitchen screen, QR menu, end-of-day and reports included? Are setup, menu entry and training paid? Who does them? How is support provided? Which channel is open in the free package? Is the data mine? Can I export it whenever I want?

The condition for sustainable free

A free product only lasts if the provider's revenue comes from another, transparent line. Otherwise the model is corrected either with advertising or, after a while, with pricing — which means the business gets caught by switching costs.

So the right question is not "is it free?" but "how does this company make money?" If the answer is clear and in writing, free is sustainable; if it is vague, it is not.
